This Privacy Policy explains how Jodie Coulthard Jewellery collects, uses, and protects your personal information. It applies to our website and to the way we deal with customers and enquiries. We are committed to handling your information in accordance with the UK GDPR and the Data Protection Act 2018.

Our website does not take payment, and we do not process orders or card details through it. We collect personal information mainly when you contact us directly. Specifically, we may collect information:
when you make an enquiry, request a consultation, or place an order by email, in person, or by other arrangement;
when you correspond with us about a piece, a commission, or aftercare;
automatically, in a limited way, when you browse the website (see Section 6 on cookies).
3. What Information We Collect
Depending on how you interact with us, we may collect:
Contact details — your name, email address, postal address, and phone number.
Order and commission details — the pieces you enquire about or buy, your specifications, sizing, and any design notes.
Correspondence — the content of messages and enquiries you send us.
Limited technical information — standard website data such as your IP address and browsing activity, collected by our website host (see Section 5).
We do not collect or store your payment card details, because payment is arranged offline.
4. How and Why We Use Your Information
We use your personal information only where we have a lawful basis to do so under the UK GDPR. The table below sets out what we do and the basis we rely on:
To respond to enquiries and discuss commissions
Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in answering enquiries.
To fulfil an order or commission
Lawful basis: performance of our contract with you.
To keep records of sales and transactions
Lawful basis: compliance with our legal obligations, for example tax and accounting requirements.
To send marketing, if you have asked to receive it
Lawful basis: your consent, which you can withdraw at any time (see Section 7).
To protect against fraud and keep our business secure
Lawful basis: our legitimate interests, provided these do not override your rights.
5. Our Website Host
Our website is hosted by Squarespace, which processes limited technical information on our behalf to provide and secure the site. Squarespace acts as our processor and also handles some data as a controller in its own right under its own privacy notice. 6. Cookies
Our website uses cookies and similar technologies, set by Squarespace, to help the site function and to understand how it is used. You can manage or disable cookies through your browser settings. Where the law requires consent for non-essential cookies, we will ask for it before they are set. For details of the cookies Squarespace uses, please see the Squarespace Cookie Policy.
7. Marketing
We do not currently send marketing emails or newsletters. If we introduce these in future, we will only send them to you if you have given your consent, and every message will include a simple way to unsubscribe. You can ask us to stop sending marketing at any time by emailing jodie@jodiecoulthard.com.
8. Who We Share Information With
We do not sell your personal information, and we share it only where necessary:
with our website host (Squarespace), as described above;
with couriers, where a piece is posted to you, so that it can be delivered;
with our accountant or HMRC, where required for tax and accounting;
where we are required to do so by law.
9. International Transfers
Some of our service providers, including Squarespace, may process information on servers outside the UK. Where this happens, those transfers are covered by the providers’ own safeguards, such as the UK’s International Data Transfer Agreement, Standard Contractual Clauses, or an adequacy decision. We do not otherwise transfer your information overseas.
10. How Long We Keep Information
We keep your personal information only for as long as we need it:
Enquiry correspondence that does not lead to an order: up to 2 years.
Order, commission, and transaction records: at least 6 years after the end of the relevant tax year, to meet HMRC requirements.
Marketing consent records, if applicable: until you withdraw consent, plus a short period for our records.
11. How We Protect Information
We take reasonable steps to keep your information secure. No method of transmission or storage is completely secure, but we use appropriate measures to protect the information we hold and limit access to it.
12. Your Rights
Under data protection law, you have the right to:
ask for a copy of the personal information we hold about you;
ask us to correct information that is inaccurate or incomplete;
ask us to delete your information in certain circumstances;
object to, or ask us to restrict, certain processing;
withdraw your consent where we rely on it;
ask us to transfer your information to another provider in certain circumstances.
